2009 ASIS Executive Board Meeting

Meeting Minutes – March 31, 2009

Chairman Tom Hamilton, presiding

PRESENT: Tom Hamilton, Chris Dempster, Ann Marie Acree, Mike Ma= son, Bruce Rodriguez, Ralph Burdett= , John Kahn, Randy S= impson, Greg Autry, Jay Helms, Richard Hill, Matt Silcox & Mike Mallon

Tom Hamilton thought it w= ould be a good idea to meet here at the Hess Club so we could experience its cateri= ng first hand so we could see what it would be like for one of our luncheons.<= /p>

Thanked everyone for attending the board meeting today
Tom, Richard & Ralph contacted a number of different venues and passed out a list of the top venues found
Tom recapped the pros and cons of each
The Hess Club had by far the most pros then any of the others

Specializes in business groups
High quality food at one of the lowest prices
Free parking, no need for validation
One of the lowest service charges
Lowest cost for AV
Easy access to/from
Contract would go through July 2010 and the Hess Club knows about our luncheon already booked at Space Center Houston = and it is not a problem
This luncheon will be a little less expensive t= hen our regular lunch prices.

The entire board and committee chairmen went for a tour of the facility and everyone was very impressed.
Tom announced that Chief Harold Hurt was confirme= d as a speaker for our September luncheon meeting.
Tom would like to schedule speakers through Janua= ry 2010 to make it easier on the incoming Chapter Chairmen next year.
Announced that our chapter made a donation to Hal= ey Marie Binder’s college fund.&nb= sp; Haley is the daughter of a chapter member who recently passed a= way.

Tom Hamilton-Chairman reviewed the stats for the Web Site for Roger Piper

The web site is fully funded for this year

Tom Hamilton-Chairman-Newsletter Chairman

The newsletter is fully funded for this year as w= ell, despite the price increase and loss of 2 large sponsors
Financially everything is looking very good

Randy Simpson-Seminar Chairman

Randy was at AIG this morning
The seminar will be in the same room we were in l= ast time which was 2007
They will do our badges for us
The cost will be reasonable, between $90-95.00 per person all inclusive
We will have some room for vendor set ups
He has contacted all speakers
Registration will start at 6:30AM
Tom asked for a list of all speakers so he could = have plaques made for each of them
Tom asked for each and every attendee to have everything they need upon the conclusion of the seminar (certificates)=
The certificates need to have the classes they we= nt to and the hours credit they will get for t= he individual class attended.
Will Prince has been helping Randy out with the seminar.
We have 2 free registrations to the seminar. Tom’s preference would = be to give those to students at UHD who are pursuing masters in security management.

Ralph Burdette made a motion that the seminar price= be kept between $90-95.00 per person all-inclusive. All were in favor.

Tom Hamilton-Golf Tournament

Paul, Darrin & Chris have been working very h= ard to get team commitments and it is going very well
We have an event coordinator that we may ask for = her assistance on the golf tournament and we would have to pay her but she would be worth it.

Tom Hamilton-ASIS Annual Conference & UHD Seminar

Due to our growth, we do have 2 free registrations with ASIS International

We also were presented with 2 free registrations = to the UHD security seminar

Tom’s preference would be to award these fr= ee registrations to members as a way of giving back to the membership.
Richard Hill suggested we advertise each of these 2 free registrations on the web s= ite and in the newsletter as a drawing at a chapter luncheon. Tom agreed that this was a go= od idea and we should do it soon, May at the latest.

Jay Helms-Oil & Gas Committee Chairmen

Jay has a big list of individuals interested in joining the committee

Tom Hamilton suggested that the chapter to pay fo= r a working lunch if he thought that would help them get started. Mike Crocker would be a good = person to invite to join the committee

Richard Hill made a motion that the chapter pays f= or the Oil & Gas’s first working lunch.= Motion was seconded and carried.

Greg Autry-Membership Chairman

As Tom gets the names of individuals, he gives th= em to Greg and Greg sends out a letter.&= nbsp; Greg gets a lot of people telling him that they thought they we= re members already.

Tom asked Greg if he would be willing to make pla= stic name badges for both the board and committeemen so members will know w= ho we are and possibly spur added conversation between us and members.
Greg said that shouldn’t be a problem and should be able to have them all done by the April lunch meeting.

Mike Mason-Placement Chairman

Nothing new to update

Tom Hamilton-Chairman-POA

Thought we had purchased a POA but we cannot find= it anywhere.

Bruce Rodriguez has no knowledge of it at all.
Matt Silcox bought an entire CPP review book list= .

Richard Hill said that UHD could set up an office probably without any cost to the chapter.

Tom would enjoy seeing a small library with a conference table, book shelves full of books so members could go there= to study and do some research etc.

Tom would like for the chapter to own POA manuals= .

Chris said that we had that set up at ISSC and if= we want that again all we have to do is say so

Tom asked if the chapter put a computer in the library/office would it be safe.

Richard Hill made a motion to reinstate the ASIS office/library. All were in f= avor.

Chris Dempster made a motion for the chapter to select the Hess Clu= b as the new venue for our Houston<= /st1:place> Chapter luncheon meetings. Motion was seconded and a unanimous vote carried= the motion.

1:20 PM the meeting was adjourned.
